We are looking for a talented professional with experience in marketing to join our team as a Marketing and Events Coordinator.  The Marketing and Events Coordinator will assist the Director of Events in the planning and execution of Greentech Media’s event program. This role will especially focus on the coordination, execution and measurement of the event marketing campaigns in order to increase brand exposure throughout the local, national, and international marketplace. We’re looking for somebody with a creative spirit who is ready and willing to dream up and implement innovative marketing techniques. This individual should also possess outstanding organization skills for prioritizing a heavy workload and exhibit strong attention to detail.  Excellent written and verbal communication skills are a must.

Major Responsibilities

- Assisting in the planning of all of Greentech Media Events

  • Coordinating and creating the event marketing campaign
  • Coordinating all event sponsorships (paid sponsors, media partners, supporting organizations, etc.) and managing deliverables.
  • Answering all inquiries that come in re: events
  • Designing, proofing and ordering event collateral and promotional items
  • Preparing and scheduling logistical support for the event (shipping, travel, hotel accommodations, etc.)
  • Assisting Director of Events in whatever ways necessary.


- Assisting in the on-site execution of all Greentech Media Events

  • Arriving up to 2 days prior to the event for set-up
  • Working closely with the Director of Events to manage all the details of the event
  • Running the Registration Desk


- Post-Event Follow-up

  • Creating and tracking post-event survey for attendees
  • Creating post-event collateral for Sales team
  • Fulfilling any remainder sponsor deliverables


Expected Capabilities

  • Collaborate with internal sales and analyst teams to create strategic and successful event marketing programs
  • Understand our business, our products and services, business jargon, etc., for the creation of effective marketing material.
  • Prepare compelling and effective print and online advertisement/marketing for all events
  • Create and edit media materials including creating email invitations, event brochures, and other tools to support the sales department
  • Assist with identifying industry-related events, conferences, and grassroots sponsorships that could be valuable event sponsors.
  • Organize event staff with logistics, itineraries, attendee and sponsorship analyses and communications plans
  • Evaluate event performance by completing post-event analysis reports and presentations
  • Maintain timely and accurate collateral and promotional item inventory counts
  • Maintain positive relationships with industry trade association partners
  • Maintain positive relationships with customers and prospects
  • Participate in Company or departmental meetings and projects as necessary


Required Skills & Qualifications:

  • Bachelor’s degree, preferably in Marketing or Communications
  • Field experience in marketing preferred.
  • Experience with various Email Service Providers (SalesFusion, Constant Contact, etc.) and proficiency in HTML coding for emails.
  • Excellent copywriting skills, including creation of innovative and engaging messaging
  • Excellent project management and organizational abilities
  • Excellent verbal communication skills
  • Strong interpersonal skills
  • Self-starter with strong attention to detail
  • High sense of urgency and ability to work under pressure
  • Ability to work on multiple projects simultaneously, keep momentum on each, and manage project due dates
  • Ability to work effectively as an individual contributor or team member in collaborative environments
  • Ability to exhibit accurate and detailed knowledge of Company’s products and services
  • Maintain a professional appearance and demeanor
  • Proficiency in Microsoft Office products
  • Ability to work consistent 40-hour weekday schedule, plus have flexibility to work additional evenings and weekends as needed.


Preferred Qualifications:

  • Relevant product and industry knowledge
  • Experience with various social media outlets, including LinkedIn and Twitter


Work Environment:

  • Weekday schedule:  9am-6pm EST
  • Some lifting:  50lbs or less
  • Standing for extended periods:  3+ hours
  • Some travel is required (up to 9 events/year)
  • Some odd hours may be required including nights and weekends.
